Saving to PDF

You have five choices when saving to Portable Document Format (PDF) files.

PDF (Normal):

Pages are exported as they appeared in the Text Editor in True Page. The PDF file can be viewed and searched in a PDF viewer and edited in a PDF editor.

PDF Edited:

Use this if you have made significant editing changes in the recognition results. You have three formatting level choices, including True Page. The PDF file can be viewed, searched and edited.

PDF Searchable Image:

The PDF file is viewable only and cannot be modified in a PDF editor. The original page images are exported, but there is a linked text file behind each image, so the text can be searched. A found word is highlighted in the image.

PDF with image substitutes:

As for PDF (Normal), but reject and suspect characters have image overlays, so these uncertain characters display as they were in the original document. The PDF file can be viewed, searched and edited.

PDF Image:

The original page images are exported. The PDF file is viewable only and cannot be modified in a PDF editor and text cannot be searched.

PDF saving options

Display the PDF converter options dialog box either from Tools > Saving Preferences, or at saving time, from the Save to File dialog box. Select a PDF file type, click Options and make the necessary choices.

  • The MRC high compression technology is  available for color and grayscale PDF Image or for PDF Searchable Image.

  • Choose a PDF compatibility setting, from PDF 1.0 to 1.6 (or 1.7 in OmniPage Professional) or PDF/A, which is a basic PDF standard with widest usability, designed to display identically in any computing environment and withstand changes from technological evolution. It achieves this by excluding audio and video files, JavaScripts, executables and encryption.

  • Choose Linearized PDF to create files optimized for fast loading and display when embedded in web pages.

The eDiscovery Assistant for searchable PDF in the Tools menu allows image-only PDF files, or files with image-only pages or portions, to be made fully searchable. See eDiscovery Assistant for Searchable PDF.

Omnipage pro Saving to PDF

The following section relates only to OmniPage Professional.

OmniPage Professional allows you to create signed, tagged, or encrypted PDF files, including the PDF 1.6 or 1.7 128-bit AES (Advanced Encryption Standard). You can choose these in the PDF converter options dialog box.  To apply passwords, first set an encryption level, then type in an open password and/or a permissions password. You must enter at least one password for the encryption to be applied. Decryption is performed when a recipient supplies the correct password. The permissions to copy, print or modify the file take effect only if a permissions password is entered.

To open a PDF file protected by both an open and a permissions password, a recipient must provide one of the two passwords. To alter, remove or set an open password or to change other permissions for a file protected by a permissions password, the recipient must provide this password.

In OmniPage Professional you can append a new PDF to an existing one. Save a recognized document as a PDF,  provide the name of an existing PDF file and choose Append.

OmniPage Professional is supplied with a PDF printer facility. This allows documents inside any print-capable application to be converted to the PDF (Normal) format. Once Nuance PDF Create is installed with OmniPage, a new printer, called “ScanSoft PDF Create!” will appear in your Print dialog boxes. Click Properties… to set PDF creation norms. When you click OK you are invited to specify a path and name for the PDF file.
